Job Description:

We’re seeking a detail-oriented Construction Administrative Assistant to join our team and support our construction department. In this role, you will report to the Director of Operations and play a pivotal part in ensuring the administrative functions of our construction projects are executed efficiently and effectively.

Requirements & Qualifications:

  • Experience with industry-standard workflows and products to navigate project requirements efficiently.
  • Knowledge of industry tools, materials, and methods to provide valuable support to project teams.
  • Strong organizational and communication skills to effectively manage project documentation and coordinate with various stakeholders.
  • Exceptional attention to detail to ensure accuracy in administrative tasks and project documentation.
  • Ability to manage multiple tasks and prioritize effectively in a fast-paced construction environment.

Responsibilities:

  • Administrative Support: Provide administrative assistance to the Director as needed, including filing, running QuickBooks reports, following up on past due invoices, and managing new customer prequalification and setup.
  • Timekeeping and Payroll: Utilize T-Sheets/QB interface to manage employee timekeeping and facilitate seamless payroll processing.
  • Productivity Reporting: Generate productivity reports using QuickBooks to track project progress and resource allocation.
  • Sales Meeting Attendance: Attend sales meetings to provide administrative support and contribute to project planning discussions.
  • Billing and Project Log Maintenance: Assist the Director in maintaining accurate billing and project logs to ensure smooth project operations.
  • Schedule Management: Coordinate and run weekly schedule meetings and maintain project schedules to keep projects on track.
  • Service Request Coordination: Schedule and dispatch service requests promptly to ensure prompt resolution.
  • Submittal and Closeout Support: Assist Project Managers with submittals and closeout documents to facilitate project completion.
  • Training and Certification Records: Maintain department training and certification records to ensure compliance with industry standards.
  • Property Management: Issue and maintain property acknowledgment records for technician electronic devices to track company assets.

Salary Range: $20-$27/hour
